Check support hours and response promises before buying hospital software
Ask when a hospital can reach support, what an acknowledgement means and who handles unresolved issues, with timezone and scope made explicit in the agreement.

A hospital that works overnight needs to know what happens when an issue is reported after the supplier's ordinary support hours. The phrase support included does not answer that question.
Ask for the channel, service hours and the agreement that defines the response. Record the timezone in terms the hospital can use, such as WAT where that is the agreed basis. Have the owner clarify the terms before relying on them in a continuity plan.
Follow a reported issue through the promise
A report received is an acknowledgement. An investigation may follow. Restoring the affected task may require a workaround or a correction. Ask which of these the quoted response target actually covers and when its clock starts.
Use a fictional example: a receptionist sends a sanitised report on Saturday evening. Ask whether that channel is monitored then, who acknowledges it and how the hospital receives the next update. Do not turn a supplier's example into a guaranteed deadline unless the applicable written agreement says so.
Check whether the hospital must provide particular information for the request to be accepted. Arrange a named contact who can supply it without exposing patient records or credentials through a general support channel.
Ask what is included
Does the agreement cover questions about ordinary use, a suspected fault, device setup or a requested change? Ask which work can carry an additional charge and who may authorise it. A request for a new report may be handled differently from a failure in an existing task.
AHRQ's workflow toolkit helps frame who does what; the support questions here are our procurement recommendations. The actual promise comes from the supplier's agreement, not from this guide.
Use the support scope worksheet to keep the answers and document references together. A blank answer remains an open buying question.
Finally, name the hospital colleague who decides how work continues while support investigates. Clinical urgency follows the hospital's clinical escalation procedures. A software ticket should have its own owner and follow-up without becoming the route through which staff seek an urgent care decision.
