Choosing a clear billing cutoff for an overnight hospital shift
Keep an overnight shift handover understandable by stating its start and end times and separating the handover period from invoice and payment dates.

A shift begins on Tuesday evening and ends on Wednesday morning. A report called Tuesday collections may include only payments before midnight, while the cash handover covers the whole shift. The totals answer different questions.
Choose and document the boundary used for each operational report. Do not change transaction dates to make the software's calendar report match a physical shift handover. The hospital's responsible finance person should approve its reporting convention.
Name the period precisely
Write the start and end date and time, including the timezone used. For a Nigerian hospital, a handover might explicitly use WAT. A fictional period from 18:00 on 8 September to 08:00 on 9 September is clearer than night shift, especially when another colleague checks it later.
Agree how entries exactly at a boundary are assigned so they appear once across adjacent handovers. Record the convention in the desk procedure rather than asking every cashier to invent one.
Keep the actual event dates
A payment received after midnight should retain the time it was received under the hospital's recording procedure. Its connection to the relevant invoice stays intact even if that invoice was created on a previous day.
A late entry needs its own explanation. Distinguish when money was received from when the entry was recorded, where the record supports that distinction. Do not backdate an unrelated transaction or rewrite the original payment to make a report look complete.
Reconcile the handover within its boundary
Start with the cash actually handed over at the beginning, then follow receipts and authorised cash movements during the stated period. Reference a separate count at the end. Transfer confirmation may be pending across the boundary; record that unresolved enquiry with its owner instead of treating it as cash received.
The FAO-hosted bookkeeping manual is general background on dated transaction records. It does not prescribe a shift convention for Nigerian healthcare.
Attach the period definition to the daily close. When a calendar-day report differs, compare the included payment references and boundary times before looking for a shortage. Leave the original report intact and document the reconciliation beside it.
