A patient asks for proof of payment and receives another invoice. The figures may be correct, but the document answers a different question. Ask what the person needs to establish before printing a copy.

The descriptions here explain ordinary operational use. They do not prescribe the tax or statutory particulars your hospital must put on a document; have the responsible finance adviser check those requirements.

What each document answers

An invoice sets out the charge being billed, with a reference that connects it to the relevant patient and services. Its original total does not, by itself, tell a reader how much money has since been received.

A receipt records a payment the hospital received. It should lead back to that payment entry and the invoice or allocation it concerns. A second printed copy of the same receipt represents the same payment.

A statement brings together an account's transactions and balances over a defined period or at a stated date. Its usefulness depends on what it includes. Ask whether it lists invoices, receipts, authorised adjustments and the opening balance before relying on its closing figure.

Explain the difference with one bill

Take a fictional invoice for 18,000 naira. The patient pays 6,000 naira in cash. The invoice explains the 18,000-naira charge; the receipt supports the 6,000-naira payment. The remaining amount is 12,000 naira before any further transactions.

If the patient later pays 12,000 naira, that is a separate payment with its own receipt. If they simply lose the first receipt, use the receipt copy register. Recording another 6,000-naira payment to produce a replacement would distort the balance.

Check the question before handing over the document

For why was I charged this amount, start with the invoice and its supporting service record. For did you receive my transfer, arrange the authorised payment check. For what do I still owe, review the relevant invoices and confirmed payments together.

The FAO-hosted bookkeeping manual is background reading on business records, from a Liberia forestry project. These hospital explanations are recommendations for clear desk conversations.

Check the authorised recipient and delivery route before sending any billing document. Keep the document date and period visible, especially if another payment arrives after the copy was prepared.
