RizCare's suggested worksheet. Adapt to your hospital. https://riz.care/library/templates/clinic-reception-opening-checklist
For the receptionist opening a shift.
The first patient arrives while the receptionist is still looking for blank cards and trying to find yesterday's handover. A short opening check gives these tasks a place before the queue forms.
Choose checks that fit your desk. Someone should be able to complete the list by looking at the actual supplies and records, rather than signing against a vague instruction such as make reception ready.
Print this page or save it as a PDF from your browser. The print layout contains only the blank worksheet and its completion note. Fill it in within your hospital.

Keep completed copies with the staff authorised to use them.
How to use it
Check what the next patient will need
Confirm that the approved registration materials, receipt supplies and folder index are accessible to authorised staff. Check the current service-price reference and the agreed route for questions. Position screens and loose paperwork so somebody waiting at the counter cannot casually read another patient's details. Record an unavailable item and the person arranging it.
Open your own working session
Use your assigned account where the hospital uses software. Check that the expected working records are available and that any saved work left by the previous shift has an identified owner. Do not borrow a colleague's password to get through the list. An access problem needs its own follow-up while the agreed continuity routine covers the desk.
Accept the unfinished work
Read the outgoing handover with the colleague responsible, where possible. Identify pending administrative callbacks, folder searches and payment enquiries. Decide which item you are taking over and what requires the manager. A blank handover should prompt a check that nothing remains; it should not be interpreted automatically as proof that the shift has no open tasks.
What each field means
- Check and observation
- Write an observable condition such as current price list available. Record the exception beside it so a tick does not conceal a missing item.
- Action owner
- Name the person who accepted the follow-up. Someone who is absent or has not received the request should not be assigned silently.
- Ready or handed over
- Use completed, action pending or not applicable with a reason. Revisit the outstanding line at handover instead of carrying a tick from the previous day.
Completed fictional example
These invented desk observations demonstrate that opening reception can leave a specific action pending.
| Desk check | Observation | Action / owner | Status / time |
|---|---|---|---|
| Price reference | Current list found | None | Complete / 07:45 |
| Open folder search | MOV-06 remains open | Reception B accepts | Pending / 07:50 |
