RizCare's suggested worksheet. Adapt to your hospital. https://riz.care/library/templates/clinic-new-starter-first-day-plan
For the manager welcoming a new staff member.
A new receptionist should know who can answer a registration question before the first unfamiliar case reaches the desk. Plan the introduction around the tasks they will actually do that day.
This is an arrival plan. Completing it does not certify competence or authorise independent clinical work. The hospital decides the role, supervision and subsequent assessment.

How to use it
Prepare before the colleague arrives
Confirm the assigned supervisor and the colleague's role. Arrange individual access through the authorised account process, with only the permissions approved for that role. Check the device and training materials. Put unresolved setup tasks beside an owner so the new starter does not spend the morning asking several people for the same password.
Walk through the working desk
Show the colleague where the approved folder index, price reference and handover record are kept. Explain how to ask for help with an identity discrepancy or disputed bill. Introduce the person responsible for each decision rather than giving a generic instruction to ask management. Use fictional examples for practice and keep live patient information within authorised supervision.
Agree the next supervised shift
At the end of the session, ask the new colleague to describe what they can do and where they need help. Record the next supervised activity and named supervisor. Use the training sign-off record for observed task assessments when those happen. Attendance at an introduction should not be entered as proof that the person can perform every task alone.
What each field means
- Activity and person
- Name the colleague conducting each introduction. A department name without an available person can leave the new starter waiting at the wrong desk.
- Access readiness
- Record ready or awaiting authorised setup with a reference. Never copy a temporary password or account recovery detail into this plan.
- Follow-up practice
- Write a specific supervised activity for the next shift. Carry unresolved questions into that session so the first-day conversation leads to an actual next step.
Completed fictional example
The invented schedule illustrates preparation and supervision, not staff competence or a clinical qualification.
| Activity | Guide / supervisor | Agreed time | Readiness / outcome | Next supervised task |
|---|---|---|---|---|
| Folder index introduction | Records A | 09:00 | Completed using fictional entry | Locate a returning record |
| Individual account | Administrator B | Before desk session | Setup reference ACC-04 | Confirm role access |
