RizCare's suggested worksheet. Adapt to your hospital. https://riz.care/library/templates/clinic-cash-denomination-count
For cashiers and the staff member accepting a cash handover.
Count what is in the till before looking for the number you expect. If the count starts with yesterday's closing figure, it is easy to carry a mistake forward. This sheet gives the physical count its own record.
The denomination amounts are supplied by your team so the sheet can match the cash actually present. Keep the opening float distinguishable from patient collections and other authorised movements.
Print this page or save it as a PDF from your browser. The print layout contains only the blank worksheet and its completion note. Fill it in within your hospital.

How to use it
Arrange the count
Choose the hospital's agreed handover point and keep the cash under authorised custody while it is counted. Group each denomination, count the pieces and multiply the number of pieces by the face value. Enter amounts consistently in naira. Mixed denominations need separate rows; a bundle label is not a substitute for counting its contents.
Check the arithmetic independently
Add the row amounts to obtain the physical total. A second authorised person checks the pieces and arithmetic before signing acceptance. If the two counts differ, retain both observations and recount the affected denomination. Do not erase the first result merely to make the two columns agree.
Compare with the handover
Take the expected cash figure from the closing record and note the difference on a separate summary row. Investigate the float, authorised cash movements and supporting receipts. Leave an unresolved difference visible with an owner. Never invent a patient receipt, expense or staff deduction to force the physical count to match.
What each field means
- Denomination and pieces
- Enter the face value and whole number of pieces separately. For example, eight fictional 500-naira notes total 4,000 naira.
- Checked amount
- The accepting person records the amount they actually checked. Their signature should follow the count rather than being collected at the start of the shift.
- Difference reference
- Link any discrepancy to the cash-closing record where its explanation will be pursued. This count sheet measures physical cash; it cannot explain a missing transfer.
Completed fictional example
Invented quantities total 16,000 naira. These two rows illustrate multiplication, not the cash expected in a real till.
| Denomination (naira) | Pieces | Amount (naira) | Checked by / amount |
|---|---|---|---|
| 500 | 8 | 4,000 | Staff B / 4,000 |
| 1,000 | 12 | 12,000 | Staff B / 12,000 |
