For practice managers and staff preparing billing records for a move.
The last balance written beside a patient name may already contain an error. Before carrying it into a new system, follow it back to earlier bills and confirmed payments. Agree the starting boundary so historical debt does not appear as a new service delivered today.
This is a preparation and reconciliation checklist. It does not imply that RizCare or another supplier offers bulk balance import. Confirm the supported migration method before entering anything, and retain access to the original records under the hospital's record-handling policy.

How to use it
Set one cutover boundary
Choose a date and time and identify which records are included. Keep a controlled copy of the source list. Assign one person to record any payment or correction that arrives after that copy is taken; otherwise the old list and the new system can both appear current while disagreeing. Record which system owns new transactions after the boundary.
Reconstruct the balance for each patient
List the unpaid invoices and subtract only payments already confirmed and allocated to them. Check that deposits, credit balances and disputed items are identified separately. Do not combine a credit for one patient with another patient's debt merely because the household paid together. Mark uncertain amounts for review instead of inventing a balancing invoice.
Compare the source and destination
For each approved entry, record the source reference, amount entered and destination reference. Check both the overall total and individual balances; equal totals can conceal two patient amounts swapped around. Keep rejected or unsupported entries on an exceptions list with an owner. The manager should approve the result and the treatment of later source changes.
The cited manual explains customer balance records in a general business context in Liberia. The cutover checklist is our own application and is not a prescribed Nigerian accounting or migration standard.

What each field means
- Source cutover
- Record the exact extract or paper-list version and cutoff. The date of typing is different from the period represented by the balance.
- Confirmed source balance
- Support the figure with invoice and receipt references. Leave unresolved evidence visible; an estimate should not acquire the appearance of a verified opening debt.
- Destination reference
- Record where the approved amount was entered using the destination system's supported method. A spreadsheet prepared for import does not establish that import succeeded.
- Difference and exception owner
- Subtract the approved source amount from the entered amount. Record why a difference remains and who must resolve it before the entry is accepted.
Completed fictional example
These are fictional balances. For P-102 the approved source is 8,000 minus the confirmed 3,000 receipt, giving 5,000. The unresolved 4,000 is excluded from approved entries.
| Patient reference | Source / balance | Destination / amount | Difference / decision |
|---|---|---|---|
| P-101 | INV-10 and receipt R-07 / 12,000 | Entry M-01 / 12,000 | 0; checked by Staff B |
| P-102 | INV-11 / 8,000; later receipt 3,000 confirmed | Entry M-02 / 5,000 | 0 against revised source; later receipt linked |
| P-103 | Paper balance 4,000; invoice absent | Not entered / unresolved | Manager A to locate source |
